Every tap at the market table becomes a farm record.

Saturday ends. The Square reader says you took in $1,840. But which crops sold? Which lots left the farm? What actually earned that money? The reader knows the total and nothing else your records need. So the sales sit in Square, the harvests sit in your farm log, and the connection between them is a tired person with a spreadsheet on Sunday.

Selling through Square and recording in a farm system used to mean doing the same day’s work twice. The second pass is the one that gets skipped, and once it is skipped, your profitability numbers and your traceability chain both have a hole in them.

How it actually works

FarmHub imports from Square. Sales flow inbound, from your reader to your farm records, without a manual export in between.

  • Webhooks are the primary signal. When an order settles in Square, Square sends FarmHub a webhook. FarmHub verifies the webhook signature before trusting it, then imports the order as a sales record. Minutes, not Sundays.
  • A reconciliation sweep backstops missed webhooks. Webhooks can go missing on anyone’s network. FarmHub periodically searches your Square orders and imports anything the webhooks missed, so a dropped message does not become a hole in your books.
  • You choose the location. At setup you pick which Square location imports into FarmHub. A farm stand and an off-farm venture can stay separate.
  • Refunds come through as refunds. Square refunds import as negative-amount sales records, so your revenue history reflects what actually happened, not just the optimistic half.
  • Money stays exact. Amounts move as Square's own integer minor-unit values (cents for USD, whole units for zero-decimal currencies like JPY) with the currency attached, never floating point. What Square charged is what FarmHub records.

Once sales land in FarmHub, they join the rest of your operation: cost rollups per harvest, profitability reports, and, if you also connect QuickBooks or Xero, the accounting entries downstream.

WHAT YOU CAN COUNT ON

What you can count on

The mechanics you are relying on:

  • OAuth2 connection, encrypted credentials. You authorize through Square’s own screen with read scopes for orders, payments, and merchant profile. Tokens are stored encrypted per connection, and FarmHub refreshes them automatically before they expire.
  • Signature-verified webhooks. Inbound events are cryptographically verified as coming from Square before FarmHub imports anything. Spoofed posts do not become sales records.
  • Idempotent imports. An order that arrives twice, once by webhook and once by the reconciliation sweep, becomes one sales record, not two.
  • Kill switch and audit trail. You can disable the connection instantly, and import activity is recorded in hash-chained audit rows.

What we do not do

What this integration does not do:

  • FarmHub does not push anything to Square. It does not create items, change prices, or touch your catalog. The flow is import-only.
  • FarmHub does not process payments. Square remains your processor and your terminal.
  • FarmHub does not merge locations. Each connection imports from the one location you chose.

Setup, honestly

You need a Square account with at least one location.

  1. In FarmHub, open Integrations and choose Square.
  2. Authorize through Square’s OAuth screen. FarmHub requests read access to orders, payments, and your merchant profile.
  3. Pick the Square location to import from.
  4. Run a test sale, or wait for the next real one, and watch it arrive as a FarmHub sales record.

Questions farmers ask

How fast do Square sales show up in FarmHub?

Square sends a webhook when an order is created or updated, and FarmHub imports it on arrival after verifying the signature. If a webhook is missed, a periodic reconciliation sweep catches the order later.

Are refunds imported?

Yes. Square refunds are separate events, and FarmHub imports them as negative-amount sales records so revenue reflects reality.

Can the same order be imported twice?

No. Imports are idempotent. An order arriving by both webhook and reconciliation sweep resolves to a single sales record.

Does FarmHub change anything in my Square account?

No. The integration is inbound only, with read scopes. FarmHub never writes to your Square catalog, prices, or transactions.

What if I sell at multiple locations?

Each connection imports from one Square location that you choose at setup, so you control exactly which sales enter the farm record.
